Essential Functions:
  • Client Record Management: Set up and update client records, including contact information, billing calendars, and payment details.
  • Data Entry: Accurately enter new clients and projects into the accounting system.
  • Contract Tracking: Assist with tracking contracts and ensure project details are consistently updated.
  • Form Review: Review internal forms to confirm all required information is complete and accurate.
  • Contract Compliance: Monitor contract terms and prepaid amounts to ensure they align with client agreements.
  • Invoice Preparation: Help prepare client invoices, ensuring accuracy, and organizing the related billing documentation.
  • Billing Reconciliation: Perform billing reconciliation to ensure consistency between invoices and project records.
  • Discrepancy Resolution: Resolve billing discrepancies and payment issues promptly, working with both clients and internal teams.
  • Project File Management: Keep project and billing files well-organized and up to date including status updates, reconciling, and closing projects in a timely manner.
  • Reporting Support: Support reporting needs by preparing simple summaries and status updates.
  • Client Preferences: Learn client billing preferences and assist in resolving any billing or payment issues.
  • Tracking Requests: Maintain logs of client requests and monitor outstanding project deliverables.
  • Collaboration: Work closely with project managers and team members to ensure alignment and smooth workflow.
  • Communication: Communicate clearly and effectively with both internal teams and clients.
  • Billing Reports: Contribute to the preparation of weekly and month-end billing reports and updates.
  • Task Management: Stay organized and manage priorities to ensure timely and accurate completion of tasks.
  • Process Improvement: Share ideas to help improve team processes and workflow

Knowledge, Skills, and Abilities:
  • 1 to 3 years of Billing or office experience
  • Experience in Surveying, Engineering, Construction or Legal industries in an office environment would be ideal.
  • Deltek Vision experience is ideal but can be trained, knowledge of similar ERP system is helpful.
  • Proven experience in a high volume, fast paced and high-pressure environment.
  • Ability to multitask with competing priorities.
  • Comfortable dealing with numbers and the processing of financial information.
  • Strong research and problem-solving skills.
  • Excellent knowledge of MS Excel (Pivot Tables and VLOOKUP ideal).
  • Adobe and the ability to manipulate documents.
  • Results-driven with a backbone, assertive, self-starter, motivated and patient.
  • High degree of attention to detail and trustworthiness.
  • Prolonged periods sitting at a desk and working on a computer.
  • Light to moderate lifting may be required.

Compensation and Benefits:
  • Pay Range: $22-$29 per hour
