ESSENTIAL FUNCTIONS
  • Establishing and maintaining client master file data, accounting calendars, payment association rules
  • Client and project creation within accounting system
  • Contract management – monitor/analyze information pertaining to contracts, addendums, and purchase orders.
  • Responsible for completing project status (lock, reconcile, close projects timely).
  • Reviewing data from request forms submitted for accuracy and completeness
  • Tracking and ensuring accuracy of Contract terms and Retainer per agreement
  • Maintain timely, accurate client billing, including supporting documentation, and deliver based guidelines provided
  • Prompt and organized maintenance of data and invoicing
  • Generate Billing Reports and analyze data to provide markups
  • Strong understanding and knowledge of billing concepts and practices
  • Complete client-related reporting, as needed
  • Understand all aspects of any assigned clients. This includes billing rules, reports, status of AR, client dictionaries, etc.
  • Analyzing receivables for assigned clients through monthly and ad hoc monitoring of reports and statistics, identifying, and researching variances, and providing results of the research to Client Managers
  • Assisting and resolving remittance discrepancies
  • Developing processes and procedures to maintain and monitor Retainer requirements/receipt
  • Serving as the primary point of contact for client inquiries regarding cash and claims posting
  • Maintaining a tracking log for client requests/outstanding deliverables
  • Performing check deposit and cash application process
  • Work closely with Branch/Project Managers in a team-based environment
  • Participate in client meetings in a support role
  • Ability to communicate with clients and internal management
  • Work with Client Managers on improving and maintaining effective communications within the organization and with assigned clients and projects
  •  Generate weekly/month-end reports to provide client/project/billing analysis
  •  Prioritize tasks to ensure accuracy and efficiency
  • Suggest process improvements and partake in brainstorming/researching new process
  • Proactively communicate issues to management
KNOWLEDGE / SKILLS / ABILITIES / EDUCATION
  • 1 to 3+ years of Billing experience within the Surveying, Engineering, Construction or Legal fields
  • Deltek Vision experience is ideal but can be trained, knowledge of similar ERP system is helpful
  • Proven experience in a high volume, fast-paced and high-pressure environment
  • Ability to multitask with competing priorities
  • Comfortable dealing with numbers and the processing of financial information
  • Strong research and problem-solving skills
  • Excellent knowledge of MS Excel (Pivot Tables and VLOOKUP ideal)
  • Adobe and the ability to manipulate documents · Proven longevity
  • Results-driven with a backbone, assertive, self-starter, motivated and patient
  • High degree of attention to detail and trustworthiness

Estimated pay range: $30- $38 per hour.
